Request for Payments
QuickBooks Online (QBO) is a cloud-based
accounting software that allows you to manage your business finances. If
you want to track the aging of payment requests (RfP) in QBO, you can
use the built-in features for invoicing, payments, and reporting. Here's
a general guide on how to achieve this:
1. Create Invoices in QBO:
- Log in to your QBO account.
- Create invoices for the payment requests
(RfP) using the "Create" menu.
- Specify the due dates for each invoice.
2. Receive Payments:
- Record payments against the invoices as
you receive them.
- Make sure to enter the payment dates
accurately.
3. Aging Report in QBO:
- QBO provides an Aging Report that shows
the aging of your accounts receivable.
- Navigate to "Reports" and search for
"Aging Receivables" or "Accounts Receivable Aging Detail."
- Customize the report to include the
information you need.
4. Customize Aging Periods:
- Most aging reports in QBO will have
aging periods like 0-30 days, 31-60 days, etc.
- Adjust the aging periods to match your
specific requirements.
5. Export Data to Spreadsheet:
- QBO allows you to export reports to
Excel or CSV format.
- Export the Aging Report to a spreadsheet
for further customization and analysis.
6. Enhance Spreadsheet Analysis:
- In your spreadsheet, you can add
additional columns for reference or custom calculations.
- For example, you might want to add a
column to track the vendor/requester names, payment request numbers,
and any other specific information not covered in the QBO report.
Example Columns in Spreadsheet:
Vendor |
Invoice Number |
Invoice Date |
Due Date |
Amount Requested |
Payment Date |
Days Outstanding |
ABC Inc |
INV001 |
2023-01-15 |
2023-02-15 |
$1,000.00 |
2023-02-20 |
=IF(ISBLANK(F2), TODAY() - D2, F2 - D2) |
7. Regular Updates:
- Keep the spreadsheet updated with the
latest information from QBO.
- Regularly export the Aging Report from
QBO to ensure accurate tracking.
8. Visualization:
- Use charts and graphs in your
spreadsheet to visualize the aging of payment requests over time.
By integrating QBO data into your
spreadsheet, you can leverage both the automated features of the
accounting software and the flexibility of a spreadsheet for additional
analysis and customization.
